Privacy policy
Laros A/S client terms and security. This policy describes how we process personal data in our property management, on laros.dk, in the customer portal web.laros.dk and in our apps.
1. Introduction
1.1. This data protection notice is provided to you because Laros A/S collects information about you.
2. Data controller for personal data
2.1. Laros A/S, Paludan-Müllers Vej 84, st. th., 8200 Aarhus N, CVR no. 27756328, is the data controller and ensures that your personal data is processed in accordance with applicable data protection legislation.
3. Purpose of collecting personal data and legal basis
3.1. We make sure that your personal data is only collected and processed for the following purposes:
a) to facilitate the delivery of products and/or services you have ordered when you are a tenant in a rental property managed by us, or an owner of a cooperative home or owner-occupied home managed by us. For this purpose, we collect names, email addresses, addresses, phone numbers and, in some cases, account numbers, CVR numbers and CPR numbers (Danish personal identification numbers) if we need to make payments to you or for final identification.
b) if you are a board member of an owners' association, an owner of rental properties or on the board of a fund or another type of company or business that is a client of ours, we in some cases collect valid photo identification in order to meet the requirements of the Danish Anti-Money Laundering Act.
3.2. Our legal basis for processing is:
a) your consent,
b) processing is necessary for the performance of a lease, transfer agreement or purchase agreement to which you are a party,
c) processing is necessary to comply with a legal obligation imposed on Laros A/S or on a company in which you have purchased ownership,
d) processing is necessary for the purposes of the legitimate interests of Laros A/S or a third party, and these interests override the interests of the data subject.
If the legal basis for processing is consent, you have the right to withdraw your consent.
3.3. We keep your personal data until it is no longer relevant for Laros A/S to keep it, for as long as this is in accordance with Danish law. If the legal basis is consent and you withdraw your consent, Laros A/S will keep your personal data for a maximum of 1 year afterwards. If your consent has not been used for more than 2 years, Laros A/S will delete your personal data.
4. The website laros.dk
4.1. This section describes how we process personal data when you visit laros.dk.
4.2. We use Microsoft Clarity to see how the website is used, for example which pages are visited. We do this to improve the website. Clarity is set up without cookies, so nothing is stored on your device. We cannot recognise you from one visit to the next, and the information is not used for marketing. The legal basis is our legitimate interest in improving the website, cf. Article 6(1)(f) of the General Data Protection Regulation.
4.3. Microsoft Corporation is our data processor. The information may be transferred to the USA, where Microsoft is certified under the EU-US Data Privacy Framework. You can get a copy of the transfer basis by writing to info@.
4.4. You can write to us through two forms on the website. In the contact form, we ask for your name, phone number, email address and your message. In the "Get a quote" form, we also ask for address, postcode, city, number of homes, number of units and any comments. Using the forms is voluntary, and you can always call or write to us instead.
4.5. The information from the forms is used solely to respond to your enquiry and to give you a quote if you ask for one. The legal basis is Article 6(1)(b) and (f) of the General Data Protection Regulation. We keep enquiries for up to 12 months after the last contact, after which they are deleted. If the enquiry leads to an agreement, the information is processed according to the other sections of this policy.
4.6. The forms are protected by the spam filter Cloudflare Turnstile, which filters out automated submissions. The filter assesses whether a submission comes from a human and may process your IP address and technical information about your browser in doing so. The legal basis is our legitimate interest in protecting the website against misuse, cf. Article 6(1)(f). Cloudflare, Inc. is our data processor.
4.7. The website is hosted by Webflow, Inc., which is our data processor and processes the technical log data needed to display the site, including your IP address. The site also loads fonts from Google Fonts, which for technical reasons means that your IP address becomes known to Google.
4.8. On the pages with available rentals, you can view a map of the location. The map comes from Google Maps and is only loaded when you click "Show map" yourself. Until then, no information is sent to Google. When you click, Google receives your IP address and the address of the rental you are viewing, and Google may store information on your device. Your choice is remembered until you close the browser. Google LLC is an independent data controller for that processing, and you can read more in Google's own privacy policy.
4.9. We do not set cookies for statistics or marketing on laros.dk. That is why there is no cookie banner. The only thing you need to decide on yourself is the map described in section 4.8.
4.10. We make no automated decisions and carry out no profiling based on your use of the website.
5. The customer portal web.laros.dk
5.1. This section describes how we process personal data when you use our customer portal at web.laros.dk. The portal is for the tenants, cooperative members, owners, associations and property owners we manage for, and it requires a login.
5.2. You create your login yourself with your email address, the same one we have registered for your tenancy or home. We store your email address and an encrypted version of your password. We cannot see your password and cannot tell you what it is. If you have forgotten it, you set a new one via a link we send to your email. The legal basis is Article 6(1)(b) of the General Data Protection Regulation.
5.3. The information the portal shows you (your address, your tenancy, your charges, any arrears, your documents, your contact persons and your move-in and move-out dates) is retrieved directly from our administration system every time you open a page. The portal does not keep its own copy, and it only shows information about the homes you are registered to.
5.4. You can use the portal to write to the administration team, the caretaker or the board, to report faults and defects, to request changes to your contact details and to give notice on your home. What you write, and any images or files you attach, are sent to the person responsible at our office or at the property, and you receive a copy at the email address you have provided. The content is processed as part of your case and kept according to the same rules as the rest of our case handling.
5.5. To keep you logged in, the portal stores an access token, a refresh token and your user role in your browser's local storage. They are kept only on your own device, are not sent to anyone but us, and disappear when you log out. In addition, the portal stores a single flag indicating whether you have dismissed the offer to add the portal to your home screen. There are no cookies for statistics or marketing, so there is no cookie banner in the portal either.
5.6. We do not use visitor statistics, analytics tools or tracking of any kind in the portal. We make no automated decisions and carry out no profiling based on your use of it.
5.7. The portal's files are hosted by Simply.com, which is our data processor. The actual processing of your information takes place on Laros' own servers in Denmark. All traffic between your device and us is encrypted.
6. Apps for phone and tablet
6.1. The portal can be added to the home screen of your phone or tablet, and it can be downloaded as an app under the names "Laros Lejer" and "Laros Investor". The app is the same portal as on web.laros.dk. It loads the same pages from us and processes your information in exactly the same way as described in section 5.
6.2. The app does not ask for access to your location, contacts, calendar, photos, microphone or camera. If you choose to attach a photo to a fault report, this is done through your phone's standard file picker, and we only receive the photo you have chosen.
6.3. The app collects no information about how you use it and contains no advertising, advertising networks or analytics tools.
6.4. We currently send no notifications to your phone from the portal. If we introduce this, it will only happen if you agree to it on your device, and you can turn it off at any time in your phone's settings or in the portal. In that case, we will only send notifications about your own matters, for example an upcoming payment or a new document for your home, and never marketing.
6.5. If you delete the app or the shortcut from your device, everything the portal has stored locally is removed with it. Your login with us remains until you ask us to delete it, cf. section 7.
7. Deleting your login and your information
7.1. You can ask us to delete your portal login at any time. Write to info@ from the email address the login was created with, or call us on 87 30 97 41. We confirm the deletion in writing, after which the login no longer works.
7.2. When the login is deleted, we remove your email address, your encrypted password and your access to the portal. However, we cannot delete the information relating to your tenancy or home for as long as we are obliged to keep it under the Danish Rent Act, the Danish Bookkeeping Act, the Danish Anti-Money Laundering Act or the agreement to which you are a party. These are the same rules as described in section 3.3.
7.3. Deleting the login does not affect your tenancy, your home or your payments. You will continue to receive charges and other post from us as usual.
8. Your rights
8.1. If you have questions about our processing of your personal data, you can contact us using the contact details given below in section 10.
8.2. You can at any time request access to your personal data and have incorrect information corrected, deleted or changed. You can also request restriction or data portability, or object to our processing of your data, including withdrawing your consent.
8.3. If you have a complaint about our processing of your personal data, you can contact the Danish Data Protection Agency (Datatilsynet).
8.4. You have the right to object at any time to the processing of your personal data for direct marketing.
9. Transfer of personal data
9.1. We may disclose personal data to affiliated companies or subsidiaries and to professional advisers in accordance with applicable data protection legislation.
9.2. Our employees, agents, business partners and suppliers may have access to your personal data to a limited extent, as needed, in order to provide a service to us or to act on our behalf in accordance with applicable data protection legislation.
9.3. We reserve the right to use or disclose information that is necessary to comply with laws, regulations or legal requests, or to cooperate with a judicial investigation.
9.4. Where necessary, we transfer your personal data to:
- the Danish Business Authority (Erhvervsstyrelsen)
- partner banks and mortgage credit institutions
- owners, boards or other parties with a controlling influence
- suppliers, where person-specific data is needed to deliver a service
10. Contact details
If you have questions about this notice, about data protection or about the use of the information collected, you can contact us:
Laros A/S, Paludan-Müllers Vej 84, st. th., 8200 Aarhus N, info@, phone 87 30 97 41.
11. Security
11.1. We take good care of the information you provide about yourself. From the moment we receive the information, you can trust that we treat it confidentially and securely.
11.2. In our databases and other IT systems, we take every precaution to protect our users' information against misuse. Information about name, address, email address, phone number, CPR numbers and any photo ID is stored encrypted or behind double password-protected access. Among other things, this means that only the employees who need the information to carry out a task have access to it. All our employees have received thorough instruction in our security and personal data processing policy.
11.3. Access to the customer portal is personal. Do not share your login with others, and log out if you use the portal on a device that others have access to.
12. Children and young people
12.1. The customer portal and our apps are not aimed at children. We only create logins for people named on a lease, a cooperative share or an owner-occupied home with us, and we do not knowingly collect information about children under 15 through the portal.
13. Data controllers and data processors
13.1. The General Data Protection Regulation distinguishes between the concepts of data controller and data processor. The data controller is responsible for the data, for storing it securely, for deleting data that is no longer needed, etc. Data processors process data on behalf of a data controller and under its responsibility and instructions.
13.2. In the property management industry, there has been discussion about whether companies like ours are data controllers or data processors. We do not shift the responsibility onto our clients: we define ourselves as data controllers, not data processors. This also means that we do not send long and hard-to-understand data processing agreements to our clients to make them responsible for our data processing.
13.3. In certain cases, we use data processors ourselves, for example support systems with access to our systems or external backup. Here, too, we act as data controller for our clients' data and hold the data processors to the rules and legislation.
14. Changes to this policy
14.1. We update the policy when our processing of personal data changes, for example when we start using a new feature in the portal. The current version is always available at laros.dk/en/privatlivspolitik, and the date below shows when it was last changed.
